Overview
CBS New York is looking for a conscientious, organized and self-motivated Newsroom Administrative Assistant to support a newsroom of 200 employees. The right candidate will work closely with the Vice President and News Director to manage daily tasks to keep the newsroom running smoothly.
Primary Responsibilities
Assistant to WCBS VP/News Director
• Provide Executive Support to News Director
• Manage News Director's calendar
• Schedule travel for News Director as needed
• Handle Expense Reports
• Coordinate internal and external conference calls and meetings
• Handle any special projects or ad hoc assignments as delegated by the News Director
Newsroom Management
• Set up New Hires with computer logins and email accounts
• Maintain supply inventory
• Maintain Coffee Machine and Water Cooler
• Order Makeup and Hairspray for Talent
• Assist Talent with Administrative needs and requests
• Help staff with expense reports
• Order meals as needed
PR/Footage Licensing
• Handle Talent Appearance Requests submitted by groups and organizations
• Handle multiple requests for licensing footage from vendors
• Put together reports for the FCC as necessary
Invoices
• Receive on and process more than 20 invoiced, daily
• Follow up with vendors inquiries about payments
• Assist vendors with being setup in the system
• Create purchase orders as needed
Qualifications
• Previous administrative experience in a medium to large organization
• Proficient in use of MS Office applications
• Organized and detail oriented
• Ability to multi-task
• Must be able to work independently and with a team
• General knowledge of how a newsroom functions on a daily basis is preferred but not required
• Thrive in a fast-paced work environment
